Transferring Accounts

There may be times when a company/departmental card needs to be transferred from one owner to another. This functionality provides the necessary seamlessness for doing so.

To transfer an Account:
1. Select the Admin tab then select the Account List option on the left;
2. From the Account List page, specify Search Parameters to refine your list of Accounts (Searching for Accounts);
3. Click the associated Transfer Account to another User icon;
4. From the Transfer Account page, place your cursor in the Transfer to User field and select a user from the Profile Search list on the right;
5. Enter the appropriate Transfer Notes;
6. Enter the New Name on Account;
7. Activate the Complete Account Data Transfer? flag;
This will disassociate the previous Account owner's details from existing transactions and expenses, and stamp them with the new owner's.
Note:
If this flag is not activated, the Account will be transferred with the previous owner's associated details.
8. Select to Process the transfer "Now" or "Later";
· "Now" schedules a one-time Housekeeping activity to be run immediately;
· "Later" schedules a daily Housekeeping activity to be run at 2359h that same night.
Note:
Each account transfer is accompanied by a Housekeeping activity.
9. Click Update Changes.
Notes:
· The Name on Card option/field/column is only available if Account Ref No has been set to be replaced by it in the Account list.
