Splitting Without Expense Breakdown
To verify a transaction without expense breakdown for enhanced data:
1. From the Transaction Search page, click on the Verify Transactions icon associated with the transaction to be verified;
The Verify Expense page appears.
2. Select the Expense Group from the search list on the right;
3. Activate the Tax Receipt? flag if one is required for the item;
4. Enter the Purpose for the expense;
5. Add Note to Expense if required;
6. If available, Add Gazettal Details for Transaction;
It may be the case that the transaction exceeds a stipulated Gazettals threshold and you are required to enter further Gazettals information (optional) (see Gazettals (Optional)).
7. For each expense item, modify the Description if required;
8. Select the Expense Type from the selection pane on the right;
See Managing Expense Types.
9. Enter the appropriate GL information by selecting segment codes from the GL Search tool in the right pane after clicking in the segment field;
10. To split the expense item across multiple GL allocations, click the associated Edit GL Split Details icon;
11. Enter the split amount then click OK;
If you subsequently click the associated Edit GL Split Details icon, you will be prompted to confirm the subsequent split.
12. Click OK;
Deleting split lines that are not required via the associated Delete Split Line Item icon will cause the line to be added back to the line above it. For example, there are 3 item lines of:
Net
Tax
Gross
20.00
2.00
22.00
15.00
1.50
16.50
10.00
1.00
11.00

If the third item line was deleted, then the lines would end up being:
Net
Tax
Gross
20.00
2.00
22.00
25.00
2.50
27.50

If the first item line is deleted, the amount on that line will be added to the item line below it. They would end up being:
Net
Tax
Gross
35.00
3.50
38.50
10.00
1.00
11.00

13. Enter the relevant GL segment coding, then click Update;
14. Click Submit to process the expense items;
15. Click Save to save the expense without processing any items.
